Identify where the invoice stopped
Ask for the current stage by name: procurement review, service receipt confirmation, manager approval, accounts registration or payment preparation. Request the responsible department and the date on which the invoice reached it. This reveals whether a real step is underway or the phrase is merely postponing a response.
Separate missing records from the approval cycle
Ask for one written list of anything missing, such as a purchase order, delivery record or statement. Send the requested records together and ask the debtor to confirm that the file is complete. If accounts says the invoice was never received, follow the invoice delivery confirmation guide. If revised details are requested, use the invoice reissue guide.
Request a date for each stage, not a general promise
Do not stop at “we will update you after approval.” Ask when review will finish, when the payment will be entered and the expected transfer date. After a call, send a short written summary recording the agreed action and its owner. If no payment day can be given, see the guide to payment promises without a date.
Follow up with the person who can remove the obstacle
Accounts may be unable to approve service delivery, while the project manager may not know that the invoice is held. Ask to include the person responsible for the delayed stage while keeping one contact to coordinate the response. Connect each follow-up to a specific question or action instead of repeating the same payment request.
Keep a short timeline
Record when the invoice was sent, when receipt was confirmed, which additional records were supplied, who was contacted and which dates were promised. Compare the timeline with the statement, contract or purchase order and evidence of delivery. It helps identify repeated explanations and prepares the file if structured recovery becomes necessary.
When should you request an assessment?
Request an assessment if the approval stage remains undefined, document requests continue after the file was confirmed complete, promised dates pass without an update, or an objection arises over the invoice or amount. Prepare the records and correspondence using the claim document checklist. THIQA specialises in debt collection and receivables recovery inside Oman. Creditors outside Oman may request assistance against a company or individual inside Oman. Request an assessment and send the summary and outstanding balance.
General information, not legal advice or a guarantee of recovery. The appropriate step depends on the records, the claim circumstances and the debtor’s procedures.
